Psyon Chess Club is committed to protecting and respecting your privacy. This policy complies with UK GDPR by setting out what data is collected, how it is lawfully used, and what rights you have. It explains when, how and why we collect personal data.

Who we are
Psyon Chess Club is a chess club based at the Wesley Room, Chislehurst Methodist Church, Prince Imperial Road, Chislehurst BR7 5LX.
What we collect
- Personal details — full name, address, email address and phone number
- Chess data — ECF membership codes, ratings and match results
- Junior details — date of birth, and parent or guardian contact details
- Administrative records — membership fee payments and attendance
How we collect it
The only information we hold about members is given to us by them directly. We do not collect personal data simply because someone has visited this website.
How it is used
- Club management — communicating with members in order to run the club: selecting and organising teams and other chess events, collecting membership fees, running internal tournaments and communicating fixtures
- Affiliations — registering players with local leagues, enrolling members with the English Chess Federation, and submitting results to the ECF for rating purposes or to other organisations running competitions the club takes part in
- Safeguarding — protecting young players and holding emergency contact details
Consistently with this, the contact details a member gives us may be used to contact them by post, telephone or email for the purposes of the chess club.
We hold personal data for as long as someone is a member of Psyon Chess Club and for a reasonable time afterwards. This data is held pursuant to the legitimate interests of Psyon Chess Club, which is the basis on which it is processed.
Who can see it
Unless the law requires it, we do not sell, rent or otherwise share personal data with third parties.
Two services handle data on our behalf. Messages sent through the contact form are delivered by Formspree, and this website is hosted by Cloudflare. Both act on our instructions, and neither is permitted to use your data for its own purposes.
Cookies and analytics
This website sets no cookies, so there is nothing to consent to and no cookie banner to dismiss. Visits are counted using Cloudflare Web Analytics, which reports page views and referrers without cookies and without tracking individuals across sites.
How long we keep it
- Membership data is kept while you are a member, and for up to two years afterwards in case of queries
- Competition results may be kept indefinitely, as part of the permanent record of chess
- Where the law requires it — a safeguarding concern, for example — information may be kept longer
Security
We take reasonable technical and organisational measures to keep your information secure, including password-protected files and limiting who has access to personal data.
Your rights
Under data protection law you have the right to:
- access the personal data we hold about you
- ask us to correct anything inaccurate
- ask us to delete your data, where that applies
- restrict or object to certain processing
- data portability — transfer your data to another organisation
